1. Eligibility
Participation in the RealmsWyrks Beta Testing Program (the "Program") is open to individuals who:
Are at least 18 years old and have reached the legal age of majority in their jurisdiction of residence.
Belong to an established, regularly meeting, in-person tabletop roleplaying group consisting of five or more participants, including one designated Game Master or Dungeon Master.
Have access to the appropriate compatible device.
Agree to these Terms and Conditions before participating in the beta program.
Each participant must register individually. Registration does not guarantee selection or acceptance into the Program.
Device Requirements
Game Masters / Dungeon Masters: Must have access to a compatible tablet capable of running RealmsWyrks Overseer.
Players: Must each have access to a compatible smartphone capable of running RealmsWyrks Explorer.
Overseer will be tablet-only and Explorer will be smartphone-only during the beta program.
Specific operating-system and hardware compatibility requirements will be communicated before formal enrollment. Participants are responsible for providing their own compatible devices unless otherwise agreed.
2. Tabletop Roleplaying Systems
RealmsWyrks is designed to be system-agnostic. Groups using different tabletop roleplaying systems are encouraged to apply.
During registration, Game Masters may identify one or more tabletop roleplaying systems used by their group, including systems not specifically listed on the registration form.
This information may be used to select a diverse range of testing groups and evaluate the applications across different rulesets.
System-agnostic design does not guarantee full support for every game-specific mechanic during beta testing.
3. Participation Requirements
To qualify for the complimentary software reward, each participant must complete all applicable Program requirements.
All participants must:
Provide their name and a valid email address.
Confirm they satisfy the age and eligibility requirements.
Accept these Terms and Conditions.
Participate in the agreed testing period and make a reasonable, good-faith effort to use the software.
Complete and submit the mandatory end-of-test questionnaire by the communicated deadline.
Game Masters / Dungeon Masters must additionally:
Create or recreate an adventure using RealmsWyrks Overseer.
Make reasonable efforts to use Overseer to prepare and manage the agreed testing sessions.
Provide feedback concerning adventure creation, entity management, usability, and functionality.
Players must additionally:
Create a playable character using RealmsWyrks Explorer.
Make reasonable efforts to use Explorer during the agreed testing sessions.
Provide feedback concerning character creation, inventory, Codex functionality, navigation, and overall usability.
The Organizer will communicate the testing schedule, minimum participation expectations, required activities, and questionnaire deadline before formal enrollment.
4. Complimentary Software Reward
Upon satisfactory completion of all mandatory Program requirements, eligible participants will receive the following complimentary software entitlement when the applicable product becomes available for public distribution:
Game Master / Dungeon Master: One complimentary entitlement to RealmsWyrks Overseer ADVANCED.
Player: One complimentary entitlement to RealmsWyrks Explorer UNLIMITED.
Each reward is limited to one entitlement per eligible individual, is non-transferable, and has no cash redemption value.
The complimentary entitlement covers the specified edition of the application. It does not include separate paid expansions, subscriptions, optional services, or future premium upgrades unless expressly stated by the Organizer.
Rewards will be delivered through an applicable distribution method following release. No specific public release date is guaranteed.
5. Failure to Complete Requirements
Participants who fail to meet eligibility requirements, provide required information, complete assigned testing activities, or submit the mandatory end-of-test questionnaire by the stated deadline will not qualify for complimentary software.
Registering interest, being accepted into the Program, or installing the beta software does not constitute successful completion.
The Organizer may review participation records to determine whether requirements have been satisfied. Participants may request reconsideration if they believe a decision was made in error.
Reasonable extensions or alternative completion arrangements may be offered where technical difficulties or circumstances beyond a participant's control prevent completion.
6. Pre-Release Software
Participants acknowledge that beta software is incomplete and may contain bugs, errors, crashes, missing features, or unexpected behaviour.
Participants should maintain backups of important information and should not rely upon the beta applications as the sole record of valuable character or campaign data.
The Organizer may update, modify, suspend, or discontinue beta features during development. Material changes to mandatory participation requirements will be communicated to affected participants.
7. Feedback and Intellectual Property
Participants agree to provide honest, constructive feedback based on their actual experiences.
Feedback may include questionnaire responses, bug reports, usability observations, and suggestions for improvement.
The Organizer may use feedback voluntarily submitted during testing for product research, development, improvement, and evaluation without additional compensation.
Participants retain ownership of their original creative materials, including characters, adventures, stories, and campaign content.
Submitting feedback does not transfer ownership of participants' original creative works to the Organizer.
8. Privacy and Personal Information
The Organizer will collect and process personal information reasonably necessary to administer the Program.
This may include names, email addresses, eligibility confirmations, gaming group details, device information, participation records, and questionnaire responses.
Information will be used for registration, eligibility assessment, beta communications, testing administration, evaluation of feedback, and distribution of complimentary software.
Personal information will be handled in accordance with the RealmsWyrks Privacy Notice and applicable privacy legislation.
Participation does not require consent to receive unrelated promotional or marketing communications.
9. Voluntary Withdrawal
Participation is voluntary. Participants may withdraw by contacting the Organizer.
Withdrawal before completing the mandatory requirements will ordinarily result in forfeiture of eligibility for the complimentary software reward.
Withdrawal does not limit any privacy or other rights available under applicable law.
10. Program Changes or Cancellation
The Organizer may postpone, modify, suspend, or cancel the Program where reasonably necessary, including due to technical difficulties, safety concerns, or circumstances beyond its reasonable control.
Affected participants will be notified of material changes. Any obligations already completed will be considered fairly, subject to applicable law.
11. Acceptance
By accepting these Terms and Conditions during formal enrollment, each participant confirms that they:
Have read and understood these Terms.
Meet the applicable eligibility requirements.
Understand the beta software is unfinished.
Understand that all mandatory Program requirements must be completed to qualify for complimentary software.
Agree to participate under the stated conditions.
Acceptance of these Terms and Conditions is required for participation in the RealmsWyrks Beta Testing Program.
